Green Terp Technologies — Privacy Policy

This Privacy Policy explains how Green Terp Technologies Pte Ltd ("Green Terp," "we," "us," "our") collects, uses, and protects information — including how we handle meeting and session content when you use our services: Green Terp AI (live speech translation and captioning), TerpMate (offline speech recognition), and GT Booth (human remote interpretation).

For the purposes of the GDPR, Green Terp Technologies Pte Ltd is the Data Controller for website and account data, and generally acts as a Data Processor on behalf of our clients for session content generated during interpretation and captioning services.

2. Definitions

• Service — Our website, and the Green Terp AI, TerpMate, and GT Booth products.

• Session Content — Audio, video, and any text (such as generated captions) processed during a live interpretation or captioning session.

• Personal Data — Any information relating to an identified or identifiable individual, as defined under GDPR.

• Client — The organization that engages Green Terp to provide services for an event or meeting.

• You — A visitor to our website, or a participant in a session where our services are used.

3. Website & Account Data

When you visit our website or interact with us as a prospective or existing client, we may collect:

• Contact details you provide (name, email, phone number, company)

• Standard usage data (IP address, browser type, pages visited), collected automatically

• Cookies used to operate the site and remember basic preferences (see Section 9)

We use this information to respond to enquiries, manage our relationship with clients, and improve our website. We do not sell this information, and share it only with service providers who help us run our business (e.g. email or scheduling tools), or where required by law.

4. How We Handle Session Content

This is the section most relevant if you're evaluating us for a live event. Handling differs by product.

Green Terp AI — live speech translation & captioning

• Audio is processed in real time to generate live translated captions. We do not record or store audio.

• If live captions are enabled, the generated caption text is retained for up to 3 days after the session, then automatically and permanently deleted.

• We never use client audio or session content to train, fine-tune, or otherwise improve our AI models — for any client, at any time.

• Green Terp AI is built on established, open-source speech and language technology, adapted and fine-tuned by our own team. In line with protecting our proprietary configuration, we do not publicly disclose the specific technology components involved. We're glad to discuss this in more depth directly with a client's technical or security team under appropriate confidentiality.

TerpMate — offline speech recognition

TerpMate processes audio entirely on-device. No audio or session content is transmitted to Green Terp's servers or any third party, and nothing is stored remotely. Because processing never leaves the device, this product carries no server-side retention or data-transfer footprint.

GT Booth — human remote interpretation

• Our interpreters join a client's own meeting platform (e.g. Google Meet, Zoom, Microsoft Teams) as invited participants, listening directly to the original proceedings. The original meeting audio and video are never captured, injected into, or routed through Green Terp's platform — they remain entirely within the client's own conferencing environment, under the client's own controls.

• What passes through Green Terp's platform is the interpreter's own spoken interpretation, distributed to listening participants through our audio channel system.

• Where captioning of the interpretation is enabled, the same terms above apply: caption text is kept for up to 3 days, then deleted, and is never used to train or improve any model.

• We do not record the original proceedings, and do not retain the interpreter's spoken output beyond the live session.

5. Where Data Is Processed

Session content is processed within the same country or region as the meeting itself. For a meeting held in Singapore, processing takes place in Singapore. For a meeting held in an EU member state, processing takes place within the EU. This is intended to support clients' data residency requirements.

Website and account data (Section 3) may be processed in Singapore or wherever our standard business tools operate.

6. Legal Basis for Processing (GDPR)

Where GDPR applies, we process Personal Data based on your consent, the performance of a contract with you or with our client, our legitimate business interests in operating the Service, or as required by law.

7. Data Security

We use commercially reasonable technical and organizational measures to protect Personal Data and Session Content. No method of transmission or storage can be guaranteed 100% secure, but security is treated as a core design requirement across our products, not an afterthought.

8. Your Rights

If you are located in the EEA, or where equivalent rights apply under your local law, you have the right to:

• Access, correct, or request deletion of your Personal Data

• Object to or restrict certain processing

• Request a portable copy of data you provided to us

• Withdraw consent, where consent is our basis for processing

• Lodge a complaint with your local data protection authority

9. Cookies

We use a small number of cookies to operate our website and remember basic preferences. You can control cookies through your browser settings; disabling them may limit some site functionality.

10. Children's Privacy

Our Service is not directed to anyone under 13, and we do not knowingly collect Personal Data from children. If you believe a child has provided us with data, please contact us and we will remove it.

11. Changes to This Policy

We may update this policy from time to time. Material changes will be reflected by an updated "Last updated" date at the top of this page.
